Privacy Policy

This policy explains how Malone Integrated Tech handles information across its public website, private client portal, Vault Compiler, and related services.

Effective September 4, 2026

Malone Integrated Tech (“Malone,” “we,” “us,” or “our”) provides technical services, a public website, a private client portal, and related tools. This Privacy Policy explains how information is handled when you use maloneintegratedtech.com, Malone Client Operations, Vault Compiler, or related Malone services.

1. Information we collect

Public contact and discovery inquiries. If you contact Malone through the public Contact Desk, we may receive your name, email address, optional organization, selected service category, message, meeting interest, the page or button that led to the form, submission time, and the version of the privacy notice you accepted. The static website does not keep a separate raw-submission database. The request is routed through Malone's contact provider, recorded as a structured lead in Malone Client Operations, and copied through the business email systems used to receive and respond to the inquiry.

Account and sign-in information. If you use the private client portal, we may process your email address, account identifiers, sign-in provider information, and basic profile information necessary to authenticate you. When Google sign-in is used, Malone requests only the identity scopes needed for sign-in: openid, email, and profile. Signing in proves identity; Malone membership and project authorization determine what you can access.

Client and project information. The private client portal may contain project status, requests, messages, approvals, deliverables, files, dates, billing readiness information, account-security information, and records of actions taken within an authorized project workspace.

Technical and security information. Malone and its service providers may process technical information reasonably necessary to operate and secure the services, such as timestamps, session information, authentication events, browser or device information, IP addresses, request logs, error logs, and security events.

2. How we use information

We use information to:

  • respond to inquiries and schedule conversations;
  • provide and administer client services;
  • authenticate users and enforce project, membership, and entitlement boundaries;
  • operate project requests, approvals, files, scheduling, and authorized tools;
  • send service, security, or transactional communications;
  • protect the services, investigate misuse, and maintain auditability;
  • improve reliability and usability; and
  • comply with applicable legal, contractual, accounting, or security obligations.

We do not sell personal information. We do not use client information to create advertising profiles or for cross-site behavioral advertising.

3. Cookies and similar technologies

The private portal uses cookies or similar browser storage needed for authentication, session continuity, security, and requested functionality. Malone does not require advertising cookies to provide the client portal. Browser-local drafts or transient interface state may be used by specific tools and are designed to remain local unless you intentionally submit information.

4. Service providers

Malone uses third-party infrastructure and service providers to operate the services. Depending on the feature, these may include providers for authentication and database services, hosting and deployment, email delivery, Google sign-in and Workspace services, scheduling, source control, and related infrastructure. These providers process information under their own terms and privacy obligations and only as needed for the services they provide to Malone.

5. Client authorization and data separation

Authentication alone does not grant access to Malone client data. Access to organizations, projects, files, approvals, billing information, and tools is controlled by Malone membership, project authorization, role, entitlement, and security policy. Malone designs the private portal to keep client work separated by authorization boundaries.

Submitting a public Contact Desk request does not create a client account, organization, project, membership, invitation, appointment, or payment obligation. A Malone owner must separately review and approve any conversion into client operations.

6. Data retention

We retain information for as long as reasonably necessary to provide services, maintain business and security records, satisfy contractual or legal obligations, resolve disputes, and enforce agreements. Ordinary Contact Desk lead records that do not become active client relationships are retained for up to 90 days and then become eligible for deletion under Malone's approved retention process. Email copies may remain subject to the retention rules of the business email system. If a request becomes an active client relationship, the resulting client and project records are governed separately by applicable client-service and account-retention terms.

7. Security

Malone uses technical and organizational safeguards appropriate to the services, including authenticated access, role and project authorization, security logging, and stronger authentication for higher-risk actions where appropriate. No system can guarantee absolute security, and users should protect their accounts and devices and promptly report suspected unauthorized access.

8. Your choices and requests

You may contact Malone to request access to, correction of, or deletion of personal information Malone controls, including a Contact Desk submission. Include enough information to identify the request. Some records may need to be retained for contractual, legal, accounting, fraud-prevention, or security reasons. Rights may vary depending on your location and the nature of the relationship.

9. Children

Malone services are designed for businesses and authorized adult users and are not directed to children under 13.

10. Changes to this policy

We may update this Privacy Policy as our services change. The effective date above identifies the current published version. Material changes will be reflected on this page.
